How RingReady protects patient privacy

Compliance built into every call: encryption, strict capture rules, and clear routing for anything clinical.

Encrypted end-to-end

Every call is encrypted AES-256 in transit and at rest, stored in US data centers. We do not train AI models on your call data — ever. Recording retention is configurable; you control the window.

Strict capture rules

The AI captures only what your front desk needs: caller name, callback number, preferred appointment time, and provider preference. Symptom, medication, and test-result questions are routed to your team — never stored by the AI.

Patient-portal handoff

When a caller has a clinical question, the AI transitions politely: "Let me have one of our staff call you back, or you can use our patient portal for secure messaging." Clinical conversations happen on your secure channels, not ours.

Crisis routing

If a caller mentions chest pain, severe bleeding, or self-harm, the AI immediately directs them to 911 or 988 (Suicide & Crisis Lifeline) and flags the call as urgent for clinical follow-up. The AI does not attempt clinical triage.

Appointment booking

Books new patient and existing patient appointments directly on your practice calendar, referencing only the appointment slot — never the reason-for-visit. Confirmations and reschedules work the same way.

Refill requests handled by your team

Prescription refill requests are always routed to your clinical staff, who verify the patient and check the medication record. The AI captures the request and hands it off; it never processes refills directly.

Common questions

Is RingReady HIPAA compliant?

Yes. RingReady is HIPAA compliant for healthcare practices — the AI captures only the non-clinical information your front desk needs (appointment scheduling, callback details), and any clinical conversation routes to your team through your existing secure channels (patient portal, callback). Your practice gets professional phone coverage without adding new compliance surface area. The full technical implementation — encryption, capture rules, routing — is on this page.

Do I need a Business Associate Agreement (BAA)?

No BAA is required for the way RingReady operates. Under HIPAA, a BAA is required when a vendor handles protected health information (PHI) on your behalf. Because RingReady captures only non-clinical scheduling and contact data — and routes clinical conversations to your team — it doesn't function as a HIPAA business associate. If your workflow specifically requires clinical-detail capture on the phone (e.g. nurse triage, prescription processing), that's a different use case and you'd want a vendor that signs BAAs.

What if a patient starts describing symptoms anyway?

The AI politely transitions and routes the clinical question to your team: "Let me have one of our staff call you back, or you can use our patient portal for secure messaging." The clinical content goes to your secure channels, not to a generic capture-everything log. Standard call recording (if you have it enabled) is encrypted and retention-controlled.

Can it book appointments and confirm reschedules?

Yes. The AI handles new-patient booking, existing-patient confirmations, and reschedules. Bookings reference the appointment slot only — never the reason-for-visit. Works with most practice calendars (Google, Outlook, Calendly, athenahealth via Zapier, and others).

What about emergency or crisis calls?

Always routed correctly. The AI is configured to detect emergency language (chest pain, severe bleeding, suicidal ideation) and immediately direct the caller to 911 or 988 (Suicide & Crisis Lifeline), then flag the call as urgent for clinical follow-up. The AI never attempts to triage clinically — that's your team's job, always.

How are call recordings handled?

Encrypted, retention-controlled, and never used to train AI models. Call recordings (if enabled) are AES-256 encrypted in transit and at rest, stored in US data centers, with a configurable retention window so your practice controls how long they're kept. We do not train AI models on your call data — ever.

How does this compare to traditional medical answering services?

Traditional services often collect symptom information directly — which creates HIPAA exposure your practice carries unless there's a BAA and full safeguards in place. RingReady's approach keeps clinical detail on your secure channels and out of the AI conversation, so your compliance posture stays clean. Cost is dramatically lower too — $39/month vs $300–$2,000+/month for traditional services. See our healthcare answering service FAQ for the full breakdown.
