How to Connect RingReady to Zapier: Automate Your Call Data

Zapier connects RingReady to 6,000+ apps — automatically. Every time your AI receptionist finishes a call, the caller's name, phone number, and conversation summary can flow directly into your CRM, spreadsheet, project management tool, or email platform. No coding required.

This guide shows you exactly how to connect RingReady to Zapier and walks through the most popular automations for small businesses.

What You Can Automate

When you connect RingReady to Zapier, every completed call triggers a "Zap" that can do anything Zapier supports. Here are the most useful automations:

  • Create a new CRM contact in HubSpot, Salesforce, or Pipedrive for every caller
  • Add a row to Google Sheets with caller details for easy tracking and reporting
  • Send a Slack message to your team channel with the call summary
  • Create a task in Asana, Trello, or Monday.com for follow-up
  • Send a follow-up email via Gmail or Mailchimp to the caller
  • Create a new job in Housecall Pro or Jobber
  • Log the call in your accounting software like QuickBooks

How to Set It Up

Step 1: Enable Webhooks in RingReady

  1. Sign in to RingReady and go to My Receptionists
  2. Click Edit Receptionist on the agent you want to connect
  3. Scroll to the Webhooks section and check Enable webhooks
  4. Leave the URL field empty for now — you'll get it from Zapier in the next step

Step 2: Create a Zap in Zapier

  1. Log in to Zapier and click Create Zap
  2. For the trigger, search for "Webhooks by Zapier" and select Catch Hook
  3. Zapier will give you a unique webhook URL — copy it
  4. Go back to RingReady and paste this URL into the webhook URL field, then save

Step 3: Test the Connection

  1. Make a test call to your RingReady number
  2. After the call ends, go back to Zapier and click Test trigger
  3. You should see your call data appear: caller name, phone number, call label, and summary

Step 4: Add Your Action

  1. Choose what happens with the call data — create a contact, add a spreadsheet row, send a Slack message, etc.
  2. Map the RingReady fields to your destination app's fields
  3. Test the action, then turn on your Zap

The entire setup takes about 10 minutes. For more details on the webhook data format, see our webhooks documentation.
